Vendor Information

Sanderling Waldorf School’s Harvest Festival & Craft Faire will be held October 26th at 1905 Magnolia Avenue, Carlsbad, CA  92008. This outdoor celebration of the season will be shared with the wider community.  We will advertise the event in the October issue of Coast News, North County Times, multiple online event calendars, printed collateral all throughout North County, on a dedicated website, and via social media.  We plan to have specialty items from local artisans for sale along with a wide variety of games, crafts, music, and entertainment for the whole family!

Members of the Sanderling Harvest Festival & Craft Faire Committee are currently seeking vendors to participate in our 2013 faire.  Space is limited; therefore, selections for the vendors will reflect the festival committees’ desire to exhibit a varied assortment of high-quality, handcrafted, and natural products and/or services which complement the philosophies of the Waldorf School. 

Sanderling School is a non-profit, non-sectarian Pre-K to 8th grade private school in Carlsbad, CA.  We have a healthy and robust student body of 160, with an enthusiastic parent community to match. This autumn celebration is one of the few times we open our campus to the greater community, and in the past have drawn hundreds of like-minded folks and excited early-bird holiday shoppers. 

Information for Merchandise and Service Vendors

 We welcome vendors to our festival and will work hard to give our vendors the highest exposure at the festival.  The following information will help you decide whether our event is appropriate for your business.

  • We are looking for vendors who strive to be environmentally friendly, using sustainable products and recyclable and compostable materials
  • We are interested in natural, handmade products, artisan skills, and whole foods (preferably local and organic and some that cater to alternative diets and lifestyles). We are also interested in those who offer services that promote good health, physical fitness, respect for others, and self-discipline.
  • All food products for sale must be packaged, wrapped & cannot compete with our Faire food service.  Tasting samples are welcome.
  • All vendors are outside with no access to electricity (unless previously arranged).
  • Set up begins at 8:00AM and vendors must be ready for business at 10:00AM or at the agreed upon time.
  • Clean- up must be completed by 4:30PM.
  • $50.00 10’x10’ spaces and $20.00 2x4 Mini-Vendor tables.  Spaces do not come with tables or shade unless previously arranged.  You will need to bring your own equipment.  You may also purchase multiple spaces as needed
  • We ask that you bring table coverings that conceal all the empty boxes, etc. so that the presentation stays appealing.
  • Parking options: Street parking is free.  A 15-minute loading and unloading zone will be available in the parking lot.
  • Each vendor is responsible for his or her own sales and sales tax.
  • Vendors are invited to make a $25+ product donation for our raffle.

 Application with payment must be received by October 1st.  Due to high demand and limited space at this event, not all applications will be guaranteed a booth.  If you are not selected to receive a booth space, all payments will be returned in its entirety.  Our festival committee will complete the vendor selections and confirm your reservation by October 4th. For our confirmed vendors, any fees paid will not be refunded unless event is cancelled.

Information for Food Vendors

We welcome vendors to our festival and will work hard to give our vendors the highest exposure at the festival.  The following information will help you decide whether our event is appropriate for your business:
  • We are interested in natural, whole foods, preferably local and organic and some that cater to alternative diets and lifestyles including gluten-free and vegan. 
  • We are looking for food vendors who strive to be environmentally friendly, using sustainable products and recyclable and compostable materials.
  • Food Concessions selling items that not prepared in a licensed commercial kitchen must comply with the California Home Food Act and also file a Temporary Food Facility Permit Application with the San Diego Department of Environmental Health
  •  Food Concessions selling items prepared in a licensed commercial kitchen must file a Temporary Food Facility Permit Application with the San Diego Department of Environmental Health.
  • Set up begins at 8:00AM and vendors must be ready to business at 10:00AM.  Clean- up must be completed by 4:30.

  • All sales must be paid for using festival tickets and no cash is to be exchanged.  Vendors will turn in the tickets at the end of the Faire to redeem them for their percentage of the cash value of the tickets.
